Position Overview: The Admin Coordinator Staff is responsible for managing the complete order processing cycle within a 3PL warehouse, including tasks related to processing orders under the Sales and Return Agreement (SRA). This role involves receiving, verifying, and coordinating customer orders, ensuring timely and accurate fulfilment while managing the documentation and procedures for SRA orders. The ideal candidate must be detail-oriented, organized, and able to handle a fast-paced environment effectively.
Key Responsibilities:
Order Management:
- Receive and process customer orders through warehouse management systems (WMS), email, or SAP platforms.
- Verify order details, including product availability, quantities, and delivery schedules.
- Coordinate with the warehouse team for the picking, packing, and dispatching of goods.
- Monitor order status and proactively communicate updates or issues to customers.
SRA Processing:
- Manage orders and returns under the Sales and Return Agreement (SRA), ensuring compliance with all terms and conditions.
- Verify SRA-related documentation, including sales invoices, credit notes, and return forms.
- Coordinate with the inventory team to inspect, reconcile, and process returned goods accurately.
- Maintain detailed records for SRA transactions, ensuring proper documentation for audits and reporting.
Inventory Coordination:
- Work closely with the inventory control team to ensure adequate stock levels for order fulfilment.
- Assist in resolving stock discrepancies and maintaining accurate inventory records.
- Support periodic stock counts, including reconciliations for SRA-related inventory.
Documentation and Reporting:
- Prepare and manage order-related documents such as invoices, packing lists, delivery notes, and SRA-related forms.
- Ensure compliance with company and client-specific documentation requirements.
- Generate and analyse reports on order fulfilment, SRA transactions, and inventory performance.
Customer Communication:
- Serve as the point of contact for customers regarding order inquiries, changes, and returns under SRA.
- Provide timely and professional responses to customer concerns, resolving issues efficiently.
- Collaborate with customer service teams to enhance the overall customer experience.
System and Process Management:
- Accurately input and update order and return data into the WMS or relevant software systems.
- Ensure data integrity and maintain organized records for all transactions.
- Suggest and implement process improvements to enhance efficiency and accuracy in order and SRA processing.
Operational Support:
- Coordinate with logistics and transportation teams to schedule timely deliveries and returns.
- Work with warehouse supervisors to address order discrepancies, damages, or delays.
- Support initiatives for process optimization and operational excellence.
