Material & Logistic Coordinator
We are seeking a qualified and detail-oriented person to provide purchasing activities and support to procurement team. You will be responsible for ensuring the smooth operation of the project involved, maintaining positive supplier relations, evaluating supply options, and maintaining accurate records.
Principal Duties & Key Responsibilities:
- Purchase Order Management
- Process purchase requisitions and issue purchase orders.
- Ensure that all purchase orders are accurate and aligned with procurement policies
- Assist in preparing RFQs (Request for Quotations).
- Provide administrative support for bid evaluations and contract preparation.
- Vendor Coordination
- Communicate with suppliers for quotations, order confirmation, and follow-ups.
- Assist in vendor evaluation and maintaining vendor records.
- Documentation
- Maintain procurement documentation, including quotations, contracts, and delivery notes.
- Ensure proper filing and record-keeping for audit purposes.
- Order Tracking and Expediting
- Monitor order status and follow up on deliveries to ensure timely receipt.
- Report delays or issues to the procurement team.
- Material Handling, Shipping and Receiving
- Oversee the receipt, storage, and proper handling of materials and equipment.
- Ensure items are stored safely and in compliance with industry standards and company policies.
- Organize warehouse layouts to optimize space and accessibility.
- Coordinate inbound and outbound shipments of goods and equipment.
- Inspect received materials for quality, quantity, and compliance with purchase orders.
- Prepare shipping documents such as delivery notes, packing lists, and customs paperwork.
- Compliance and Reporting
- Adhere to company policies and procurement standards.
- Generate basic procurement reports as required by the team.
Requirement
- Basic Knowledge of Procurement
- Familiarity with procurement procedures and processes.
- Attention to Detail
- Ability to review purchase orders and invoices for accuracy.
- Communication Skills
- Proficient in written and verbal communication.
- Teamwork
- Work collaboratively with senior procurement staff and other departments.
- Eagerness to Learn
- A proactive attitude to gain industry knowledge and procurement expertise.
Qualifications and Experience
- Education: Diploma or degree in Supply Chain Management, Business Administration, or a related field.
- Experience: 0–3 years in procurement or a related role.
