Job Summary
The General Admin will be responsible for handling a variety of administrative tasks to support the efficient operations of Blum’s regional distribution center. This role includes staff administration, onboarding of new employees, supervision and revision of employee working time records, supplier liaison, free zone visitor pass coordination, coordination of personal protection equipment and uniforms, and supporting management in their day-to-day tasks.
Key Responsibilities
- Staff Administration: Manage all administrative tasks related to staff, including maintaining personnel files, updating employee information, and assisting with employee queries.
- Onboarding of New Employees: Facilitate the onboarding process for new hires, including preparing onboarding materials, conducting orientation sessions, and ensuring all necessary documentation is completed.
- Employee Working Time Record Supervision and Revision: Monitor and review employee working time records to ensure accuracy and compliance with company policies.
- Supplier Liaison: Act as the point of contact for suppliers providing cleaning services, waste management, and building maintenance. Ensure timely and efficient coordination of services.
- Free Zone Visitor Pass Coordination: Manage the issuance and renewal of visitor passes for the free zone, ensuring all procedures and regulations are followed.
- Coordination of Personal Protection Equipment/Uniforms: Oversee the distribution and maintenance of personal protection equipment and uniforms for staff, ensuring that all employees have the necessary equipment to perform their duties safely.
- Support Management: Assist the management team with their day-to-day tasks, including scheduling meetings, preparing reports, and other administrative functions as needed.
Required Qualifications & Skills
- Bachelor’s degree in Business Administration, Human Resources, or a related field.
- Minimum of 2 years’ experience in an administrative role, preferably within a logistics, manufacturing, or distribution environment.
- Strong organizational and multitasking skills.
- Excellent communication skills and proficiency in English and Malay.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to maintain confidentiality and handle sensitive information.
- Detail-oriented mindset with strong analytical and problem-solving skills.
