Job purpose

The Administration Executive will provide comprehensive, quality administrative and support services within a department. You’ll need to ensure smooth and efficient running of the department in all administrative matters.

Duties and responsibilities

  1. Provide administrative support and assistance to ensure smooth operations to all department.
  2. Assist in the recruitment process, including posting job openings and scheduling interviews.
  3. Assist in the Product Department including sending samples for lab test and follow-up.
  4. Manage office equipment and coordinate repairs or maintenance as needed - to ensure that all are in good condition or functioning well.
  5. Perform all general administrative requirements (day-to-day documentation such as data entry, scanning, filing system). Monitor and maintain a good record system for all admin and confidential matters.
  6. Assisting in organising company’s event.
  7. To ensure all company business licenses are renewed accordingly.
  8. To manage phone calls and entertain visitors.
  9. To handle incoming and outgoing parcel and correspondence. Arrange courier services when necessary.
  10. Handling in purchasing of office supplies and pantry items.
  11. Assist in monitoring and supervising office cleaners.
  12. Provide clerical support to superior.
  13. Undertake other special assignments as and when required.

Requirements and skills

  1. At least one (1) year working experience in contact center/customer support/ administration, related field.
  2. Fluent in English and Bahasa Malaysia both spoken and written. Mandarin is an added advantage.
  3. Proficient in relevant computer applications like MS Office.
  4. Basic bookkeeping and math skills would be an added advantage.
  5. Willingness to learn and ability to meet deadlines.
  6. Exemplary planning and time management skills.
  7. Ability to adapt to a fast-changing environment.
  8. Demonstrate excellent communication and problem-solving skills.
  9. Able to work independently with minimum supervision.
  10. Self-motivated and a good team player.
