Job Title: Personal Assistant to Chief Strategy and Investment Officer (CSIO)

Job Summary:
We are seeking a highly organized and proactive Personal Assistant to support the Chief Strategy and Investment Officer (CSIO) in executing strategic initiatives and managing day-to-day operations. The ideal candidate will demonstrate exceptional administrative skills, discretion, and the ability to manage complex schedules, communications, and confidential information. This role is designed for a dynamic, detail-oriented individual who thrives in a fast-paced, high-stakes environment and is committed to supporting the CSIO in achieving their professional and organizational goals.
Key Responsibilities:
- Executive Support:
Provide comprehensive administrative support to the CSIO, including calendar management, meeting coordination, and travel arrangements.
Prioritize and handle multiple tasks simultaneously, ensuring that the CSIO's time is used efficiently.
Assist with the preparation and review of presentations, reports, and other key documents.
Act as a liaison between the CSIO and internal/external stakeholders, ensuring timely communication and follow-up.
- Project Management:
Assist with tracking the progress of strategic projects, ensuring deadlines and objectives are met.
Coordinate resources and communications for key strategic initiatives.
Prepare materials and documentation for meetings and strategy sessions.
- Communication Management:
Manage incoming calls, emails, and correspondence for the CSIO, responding on their behalf when appropriate.
Maintain confidentiality when dealing with sensitive information and internal communications.
Coordinate with other departments to ensure seamless execution of corporate initiatives and investments.
- Travel and Event Coordination:
Arrange domestic and international travel, including flights, accommodations, and logistics, ensuring smooth, efficient travel schedules.
Plan and organize events, conferences, and meetings, including setting up venues, preparing agendas, and ensuring all necessary resources are available.
- Office Management:
Maintain an efficient and organized workspace for the CSIO, ensuring that all necessary materials and equipment are readily available.
Support administrative functions, including document filing, maintaining records, and overseeing office supplies.
- Confidentiality and Discretion:
Handle sensitive and confidential information with the utmost discretion.
Ensure that all data related to strategic investments and corporate initiatives are secure and appropriately managed.
- Stakeholder Liaison:
Build and maintain strong relationships with internal and external stakeholders, facilitating effective communication and collaboration.
Assist with managing client relationships, especially those related to investments, partnerships, and strategy.
Qualifications:
- Education:
Bachelor’s degree in Business Administration, Communications, or a related field (preferred).
- Experience:
Minimum of 5 years of experience in an executive assistant or personal assistant role, ideally supporting senior leadership in a corporate or financial services environment.
Experience in working with executives in strategy, investment, or finance-related fields is a significant advantage.
- Skills:
Organizational Skills: Exceptional ability to manage multiple tasks, prioritize, and stay organized in a fast-paced environment.
Communication: Excellent written and verbal communication skills; ability to represent the CSIO in a professional and polished manner.
Problem-Solving: Proactive in identifying and solving challenges; able to think on your feet and adapt to changing situations.
Confidentiality: High degree of discretion and ability to handle sensitive information with professionalism.
Technical Proficiency: Strong proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and familiarity with collaboration tools (e.g., Zoom, Slack, etc.).
- Attention to Detail: Strong attention to detail in managing schedules, correspondence, and documentation.
Interpersonal Skills: Ability to build strong working relationships with colleagues, clients, and external partners.
