Responsibilities of Administrative Executive at Qew Technologies (M) Sdn Bhd

    1. System and License Management
    • Manage MOF, CIDB, and Eperolehan systems.
    • Monitor and renew business licenses, MOF, and CIDB.
    1. Financial Management
    • Prepare and distribute invoices to clients.
    • Monitor payments and manage financial records.
    1. Office Cleanliness
    • Ensure the office environment is always clean.
    • Supervise cleaning staff and maintain cleaning supplies.
    1. Attendance Monitoring
    • Utilize electronic systems to record staff working hours.
    • Prepare attendance reports and monitor leave and absenteeism.
    1. General Administrative Duties
    • Manage company files and documents.
    • Assist in preparing monthly reports and ensure compliance with company policies.
    1. Project Document Management
    • Document Storage and Organization: Collect and organize project documents such as offer letters, contracts, and progress reports.
    • Document Processing Monitoring: Ensure documents are submitted, signed, and approved on time.
    • Compliance with Standards and Regulations: Ensure documents adhere to company guidelines and regulatory requirements.
    • Document Reporting: Provide periodic reports on the status and progress of project documents.
    • Stakeholder Communication: Liaise with clients, contractors, and internal departments to ensure documents are complete and accurate.
    1. Utility Payment Management
    • Monitor and Process Utility Bills: Manage timely payment of utility bills such as electricity, water, internet, and phone.
    • Record and Maintain Payment Receipts: Keep records of utility payments for reference and audit purposes.
    • Utility Reports Preparation: Prepare reports on utility usage and expenses for cost management.
    1. Other Assigned Tasks
    • Perform additional tasks and responsibilities as directed by management to support business operations.
