Job Responsibilities
- Reporting to senior management and performing general secretarial duties including taking dictation, typing, attending to incoming calls, and provide office administrative support.
- Proper arrangement of business appointment, travelling, visa and accommodation of directors.
- Taking minutes of Department's meeting and prepare meeting report.
- Coordinate all the activities of Director and keeping record of all meetings and appointments.
- Scheduling appointments, maintaining an events calendar, and sending reminders.
- Handling all incoming and outgoing correspondence.
- Preparing facilities for scheduled events and arranging refreshments, if required.
- To attend to Director personal and administrative matters which include checking and compilation of claim, phone bill payment, passport renewal, purchasing of business gift etc.
- Undertake other special assignment, ad-hoc functions and related duties.
Job Requirement
- Diploma, Advanced/Higher/Diploma in Business admin, secretarial course or equivalent.
- Certification in secretarial work, office administration or related training.
- 3 years of experience as a personal assistant would be advantageous.
- Advanced typing, note-taking, recordkeeping, and organizational skills.
- Working knowledge of printers, copiers, scanners, and fax machines.
- Proficiency in appointment scheduling software such as MS Outlook, as well as call forwarding.
- High integrity and able to handle confidential information well.
- Excellent written and verbal communication skills.
