Job Title: Admin Executive (Preferable with Forwarding Logistic Experience)

Location: Puchong, Selangor

Job Description:

We are looking for a highly organized and detail-oriented Admin Executive to join our team. The successful candidate will provide administrative support to ensure efficient operation of the office and assist in managing logistics-related tasks. Candidates with experience in forwarding logistics will be given preference, as they will be responsible for coordinating shipping, tracking, and delivery processes, in addition to general office duties.

Key Responsibilities:

  • Administrative Support: Provide general administrative support, including scheduling meetings, managing correspondence, and maintaining office supplies.
  • Documentation: Prepare and handle documents such as invoices, shipping documents, customs declarations, and contracts related to forwarding and logistics.
  • Logistics Coordination: Assist in the coordination of forwarding and logistics processes, including liaising with freight forwarders, shipping companies, and customs agents to ensure timely delivery of goods.
  • Shipment Tracking: Monitor and track shipments to ensure that deliveries are made on time and handle any issues that may arise during the process.
  • Database Management: Maintain and update company records, including shipment details, client information, and inventory logs.
  • Vendor Communication: Act as a point of contact between the company and vendors, suppliers, and logistics partners.
  • Customer Service: Handle customer inquiries related to shipments and provide updates on delivery status.
  • Compliance: Ensure that all shipments comply with local and international shipping regulations and company policies.
  • Report Generation: Assist in preparing reports on office and logistics operations, including shipment status and cost analysis.
  • Cross Department Coordination: Collaborate with other departments such as Sales, Operations, and Finance to ensure smooth workflow.

Requirements:

  • Education: Diploma or Bachelor’s degree in Business Administration, Logistics, or a related field.
  • Experience:
    • 2+ years of experience in administrative roles.
    • Preference will be given to candidates with forwarding logistics or supply chain management experience.
  • Skills:
    • Strong organizational and time-management skills.
    • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
    • Knowledge of logistics software and CRM systems is an advantage.
    • Excellent communication skills, both written and verbal.
  • Attributes:
    • Detail-oriented with strong multitasking abilities.
    • Ability to work under pressure and meet deadlines.
    • Problem-solving skills with a proactive approach.
    • Familiarity with customs regulations and shipping procedures is a plus.
