Job Description

  1. Pro-active in greeting and welcome guests as soon as they arrive at the office.
  2. Direct visitors to the appropriate person and office.
  3. Answering phone with well manner, screen and forward incoming phone calls to respective person.
  4. Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures).
  5. Provide basic and accurate information in-person and via phone/email.
  6. Receive, sort and distribute daily mail/deliveries.
  7. Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
  8. Responsible for procurement and management of office supplies, asset management, office equipment maintenance.
  9. Perform daily administrative duties such as making payment of utilities bill, liaise with the management office for any necessary repairs.
  10. Responsible for planning & executing company activities such as staff meals, birthday celebrations, annual dinner, festive gathering and etc
  11. Responsible for ensuring all registered licenses, bills, and documents are renewed and paid accordingly
  12. Arrange travel and accommodations, and prepare vouchers
  13. Keep updated records of office expenses and costs
  14. Perform other clerical receptionist duties such as filing, photocopying.
  15. Manage building cleanliness, landscaping, maintenance & upkeep.
  16. Liaise with maintenance team/branches team for whole building’s maintenance and upkeep.
  17. Prepare weekly maintenance report for building maintenance.
  18. Prepare monthly maintenance cost report including branches
  19. Assist in HR/Finance/Sales & Marketing/Operations/Warehouse team in general admin duties as assigned
  20. Perform any ad-hoc duties as assigned

Requirement:

  1. Candidate must possess at least Diploma in Business Administration/Business Management/Human Resources or equivalent.
  2. Good command (spoken and written) in 3 main languages
  3. Fresh graduates are highly encouraged to apply
  4. Have related working experience in Admin is an added advantage
  5. Possess positive and good working attitude, hardworking, team player, can follow instruction
